Main purpose of role: Acting as the first point of contact for clients, handling all inbound business enquiries and coordinating client experience. 

Location/Branch: London (this is an in-office role)

Hours: shift work within the hours of 7am to 7pm with occasional weekend work

Position reports to: Client Relations Manager

Main duties:

  • Answering phone calls and responding to online enquiries
  • Assessing suitability of potential new clients
  • Responsibility for all on-boarding and compliance
  • Client experience optimisation endeavours
  • Liaising with fee earners to arrange and prepare for client meetings
  • Ensuring all data is recorded accurately to support Marketing and Strategy teams
  • Liaising with fee earners to ensure optimal client-fee-earner matches and allocations
  • Following up with pre-emptive enquiries
  • Performing ad hoc administrative duties
  • Monitoring and optimising own KPIs

Skills and experience:

Vardags is currently searching for a talented individual to join our Finance team as a Finance Biller.  The role will report to a Senior Business Analyst.

We are seeking a high-caliber individual with a strong academic background from a good university. The ideal candidate will have 2-5 years’ experience in billing, experience in legal billing specifically is desired but not required.  This role requires someone who is used to problem solving and is a fantastic opportunity in an expanding, top legal 200 firm.

Main duties: 

  • Preparing and sending client bills

  • Liaising with fee earners to ensure clients are billed in a timely manner

  • Monitoring client balances and where required, following up with clients to ensure bills are paid

  • Chasing clients where amounts are outstanding

  • Providing support to the Finance Manager, where required

  • Supporting improvement initiatives, including billing process improvement and automation

  • Additional transactional Finance processing duties

Skills

  • A strong degree level education from a good university desirable
  • 2-5 years’ experience in billing, legal billing desired but not required

  • Intermediate data skills using Excel

Previous experience as a receptionist or other administrative office role is valued, but not necessary. This role is a fantastic opportunity in an expanding, top legal 200 firm.

Main Responsibilities

  • Managing all incoming calls.
  • Meeting and greeting all visitors.
  • Booking and setting up of all meeting rooms.
  • Providing refreshments and any other requirements for meetings.
  • Opening, logging and scanning all incoming and outgoing post.
  • Booking couriers, taxis and cars.
  • Running office errands.
  • Ad hoc administrative duties.

Skills

  • A strong academic background, with a bachelor’s degree in any academic discipline from a good University.

Vardags is currently searching for an experienced Project Manager to take a leading role in our upcoming transformation programme. If you’ve been working in a team for a larger company, then this is a great opportunity to step-up and take the lead in shaping an organisation’s future, while gaining hands-on experience of managing significant change projects.

Vardags has recently undergone a complete modernisation of underlying infrastructure, migrating to 365 and Azure, and has an ambitious transformation programme to build on this. There is a number of major new systems to be implemented, as well as process improvement, RPA and business intelligence initiatives.

Vardags operates a flexible hybrid working approach for this role.

Person Brief

This role is ideal for a candidate who is looking to move on from being part of a larger PMO to taking more personal responsibility for delivery to a business.  They will be very hands-on and able to directly influence the success of projects and ultimately the firm.

Vardags is a fast-moving environment, so the candidate will need to be comfortable with quickly adapting to changes.

They will need to be a confident, assertive, self-starter who can function autonomously when needed.  They will function as part of the Transformation team and have the direct support of the Director of Technology and Transformation.

Main Responsibilities:

  • Work with Business Analysts, partner organisations and the business to define and scope projects
  • Produce, update and own key project artefacts, including Project Governance, Project Plans, RAID Logs, Communications Plans, Change Impact Analysis, Resource Plans and Budgets
  • Working with vendors to deliver projects – pressure testing their plans and assumptions and driving delivery
  • Effectively communicate project expectations & progress to team members and stakeholders in a timely and clear fashion
  • Tracking and reporting of multiple projects into the Director of Technology and Transformation
  • Participate in regular task and resource planning exercises
  • Co-ordinate/matrix manage tasks and responsibilities with appropriate personnel
  • Identify and seek to resolve issues and time/resource conflicts within the project team
  • Participate in project post-mortems to identify successful and unsuccessful project elements

Experience

  • Working with vendors to deliver projects – pressure testing their plans and assumptions and driving delivery
  • Negotiating timescales and resources with internal and 3rd party delivery teams/vendors
  • Managing of multiphase projects, with an agile approach to planning - adapting plans to accommodate changes in priorities/issues encountered
  • Experience of building out plans based on incomplete information (assumption-based planning & long-term modelling)
  • Working with demanding senior stakeholders to understand objectives and needs and to negotiate consensus
  • Experience in change management (including cultural change)
  • Competency in project management tools (e.g. MS Project)
  • Knowledge of aspects of IT other than Project Management
  • Knowledge of Business Analysis techniques
  • Knowledge of technical infrastructure and/or software development methodologies
  • 3 years’ experience
